Details for Customer Service Representative/Administrative Assistant

We are a small yet multi-faceted Aerospace & Manufacturing Business looking for a Customer Service Representative/Administrative Assistant. The primary focus would be to provide customer support, product/services information to our customers with administrative and clerical assistance to the Office Manager as needed.

Duties and Responsibilities:

  • Answer incoming calls and respond to customer inquiries
  • Data entry of new orders through final billing of shipments using Intuit Quickbooks and Microsoft Word
  • Provide weekly open order status reports using Microsoft Excel
  • Maintain office record keeping system and customer file documents with confidentiality
  • Build sustainable relationships and trust with customer accounts through open and interactive communication
  • Handle customer complaints, provide appropriate solutions and alternatives within the time limits; follow up to ensure resolution
  • Open and distribute mail to the appropriate personnel
  • Assist Office Manager with Accounts Receivables and Payable as needed
  • Follow communication procedures, guidelines, and policies

Skills and Qualifications:

  • Proficient with Intuit Quickbooks and Microsoft Office programs
  • Strong phone and communication skills, contact handling skills and active listening
  • Customer orientation and ability to adapt/respond to different types of personalities.
  • Ability to function under pressure, multi-task, prioritize, and manage time effectively
  • Ability to organize own work, setting priorities and meeting critical time deadlines.
  • Ability to communicate effectively with co-workers and superiors
  • High school degree

Job Type: Full-time; M-F 8:00-4:30pm
